Pursuant to Clause 13(1) of the HJSC Constitution, notice is hereby given that the 2013 Annual General Meeting will be held as follows:
  • 7pm Monday 21 October 2013
  • Hampton Bowls Club, Fewster Road, Hampton

All members are warmly invited to attend!

The following Agenda items will be discussed. Explanatory notes are below:
  1. Receipt of the President's Report for 2013
  2. Nominations to join the HJSC Committee as per clause 25
  3. Appointment of Club Officers as per clause 23(1) - President, Vice-President, Treasurer and Secretary
  4. Constitution Review - discussion of FFV recommendation that clubs such as HJSC replace their existing Constitution with new FFV Model Club Constitution to comply with Consumer Affairs Victoria requirements under the Associations Incorporation Reform Act 2012
  5. Special Resolution - Incentives to reward volunteer coaches, team managers and other HJSC volunteers
  6. Any other business raised by a Member more than 14 days prior to the AGM as per clause 13(1) and (3)

Members who attend the AGM are invited to join in the Coaches and Managers' night function that will be held at the same venue from 7:30pm.



(2) Nominations to Join the HJSC Committee

HJSC is run by volunteer parents. Under the Constitution our Committee can comprise 10 members, although the Committee can seek the support of non-Committee members as required.

The current Committee members are listed on the Club's website

It is very important that we continue to have new members join the Committee. We would love to receive your nomination!

In particular we are hoping to have new Committee members in 2014 who have skills in the following areas:
  1. Communications: the Club has an easy-to-maintain website, Facebook page and produces an occasional newsletter. If you have communications talent - perhaps you want to maintain / improve your skills in communications via electronic channels - then this is a great opportunity for you!
  2. Social Events: the Club wants to continue to provide a forum for members to socialise and enhance the community aspect of HJSC. In 2013 we held 3 "Friday Night at the Club" events but had to cancel the planned "Superheroes" night due to poor ticket sales. We hosted the annual Dads' Soccer Match between Hampton Primary and St Mary's. We facilitated a number of team specific events such as Team Pasta Nights. We will be holding a Coaches and Manager's thank-you night on the same night as the AGM. If you have events talent then this will be a fun role for you!
  3. Treasurer: Tim Fry has filled this role for a number of years. It's a very important role at the club but not particularly onerous if you are an accountant or similarly experienced person of numbers! Tim will provide plenty of support to ensure a smooth transition.

(3) Appointment of Club Officers

The current Club Officers are:
  • President: Jamie Downs
  • Vice-President: Jim Elliott
  • Treasurer: Tim Fry
  • Secretary: Richard Bowen

All Officer positions are open. Should more than one nomination be received for one or more Officer positions then an election will be held at the AGM pursuant to clause 25. All members present at the AGM will be entitled to one vote.

(4) Constitution Review - discussion of FFV recommendation that clubs such as HJSC replace their existing Constitution with new FFV Model Club Constitution to comply with Consumer Affairs Victoria requirements under the Associations Incorporation Reform Act 2012

HJSC's Constitution follows the Football Federation Victoria ("FFV") Model Club Constitution. The Associations Incorporation Reform Act 2012 has resulted in this Model Club Constitution no longer complying with Consumer Affairs Victoria requirements. Accordingly the FFV has redrafted the Model Club Constitution and are now requiring that clubs such as HJSC adopt this new Constitution. 

Elements of the new Constitution need to be customised for HJSC. We then need to submit the proposed new Constitution to the FFV for approval. Once the FFV has approved the new HJSC Constitution then HJSC will need to hold a Special General Meeting to adopt the new Constitution. 

The first step of this process is to review the customised elements of the new Constitution. This initial discussion will take place at the AGM. Material for consideration will be available from the HJSC website prior to the AGM.

(5) Special Resolution - Incentives to reward volunteer coaches, team managers and other HJSC volunteers
